How Much is it to Rent a Party Tent? Party Tent Rentals 101

Whether you’re keeping a cake and gifts out of the sun at a birthday party or seating guests for the grand feast at a lavish wedding, party tents are an essential item for any outdoor affair. But just how much is it to rent a party tent? How much is it to rent a tent for a wedding? What should you know about party tent rentals before booking one?

Party tent rentals can be a convenience, a life-saver, or anything in between. You shouldn’t be planning an outdoor special event without one, really. They protect you and your guests from the elements. You can heat party tents in winter and safeguard against snow, cold, and rain. When the sun is beating down in the middle of summer, a party tent can save you from sunburn and discomfort. Not to mention they carry with them a certain upper class aesthetic that helps make even a simple birthday party all the more memorable.

The Cost of Renting

So, now you see the draw of utilizing a party tent for your special occasion. That sales pitch is enough to make most people realize they want to rent one … until they find out how much it costs to rent a party tent, that is. A party tent can cost anywhere from $100 for small 10x10 pop up tents to upwards of $20,000 or even more for massive festival-sized tents.

A 20x20 party tent rental will cost you anywhere from $200 to $500. A 20x40 party tent will cost between $300 and $750 per day, depending on how you order it. If you include extra features with your rental, like tent sidewalls, rain gutters, lighting, and other such amenities, the price will inevitably climb. But it must be said that each of these features adds benefit to your party tent and improves the overall experience. Each one increases the tent’s effectiveness and helps keep party guests comfortable and safe from unpleasant weather.

It costs between $.75 and $1.50 per square foot to rent a party tent. For a 10x10 tent, you might pay as little as $150, but for a 5,000 to 10,000 square foot tent, you might pay as much as $2,500. On average, tent lighting costs about $1 per foot, and heaters can run anywhere from $100-$300 each.

But you’ve got a party to throw, a gathering to host, or a celebration to hold. There’s no way to get around the need for proper shelter, and a party tent rental is the most surefire way to make it happen. No matter the size of your function, we have a tent that suits it at Tent and Table - or even a combination of tents.

Rental Prices

While rental prices for a single day can go as low as $150, you’re looking at a very small tent for that price. As we mentioned, 10x10 tents go for about that price, and that’s as small as party tents come. It can fit about ten people, so it works for a small group or a single booth at an event.

If you want to fit 20-40 people, you’ll need a tent that’s about 400-600 square feet. That will cost you anywhere from $350-$500.

A large tent that can fit 120 people will have 1,200 square feet of space and will cost somewhere around $500-$1,500 per day.

The last tier, composed of giant tents, cost between $500-$800 per day. They also typically have a $1,000 setup fee, and hold anywhere between 400-1,000 people with 4,000-9,000 square feet of space.

Other Factors

The size of the tables that you choose to use will also play a big role in how many people fit in the tent. You’ve got to decide whether you want to use a lower number of big tables that can fit more people, or a larger number of small tables that can fit fewer people. It depends on your budget in the end, but bigger tables will ultimately save space in your party tent.

You’ve also got to know whether you’re using round, rectangular, or square tables. Most people tend to use round tables as they provide consistent seating and are much more social choices.

Understanding Renting vs Buying

For people who know they’ll use their party tents over and over again, purchasing makes more sense. But if you know that you’ll only use your party tent for one occasion, renting is the better choice - and now you know what to expect when you start budgeting for a rented party tent.

That's good to know that renting a party tent will cost about $350 or so. My fiancee and I are considering getting an outdoor wedding, and we want to get a tent so we could have some shade if we did. I'll make sure to factor the tent into our budget if we end up going with the outdoor venue.

It's great to learn that party tent rental companies will help set up for your event. My wife and I are wanting to throw a big birthday party for her mother and we were wondering how we were going to set up the party tent for the party. I'll be sure to tell her that we should look for a party tent rental company in our area.
